Initial products synchronization

One of main EasyERP advantages is a multichannel inventory management system, which means it can combine several shops in one place. As you can assume it’s a great tool to enhance your business. As result of wide range of possibilities, mastering EasyERP by yourself can take you a lot of effort and time to know all its functions and elements. To help you with this task we have prepared Etsy user guide, where all aspects of integration of Etsy and EasyERP will be covered. This way you will know what happens in a variety of situations. The goal is to avoid any kind of surprises, to provide you with detailed information about every possible outcome of your actions.

We have already described how to initially synchronize EasyERP with Etsy in a previous article. Now, let us tell you what may happen in many different cases when the integration channel is already established. One of the things you have to know is that synchronization process occurs once every 15 minutes. So don’t be alarmed if the information that you have just inputted is not visible in the EasyERP or Etsy right away, give it time to process. If you are in a hurry you can start the synchronization process manually by pressing the Sync button in the Settings menu. This process should not take a lot of time, though it depends on the amount of products and orders you have to export and import.

In this table below you can find the detailed description of every aspect of synchronization:

For correct product deleting on Etsy and EasyERP first you need unpublish the product from channel and only then delete it from EasyERP.

Move a product to draft Etsy Hides the product, so it is not visible in listings. Nothing changes on EasyERP side. To read the details, go to the Hide product chapter.

Unpublish a product Etsy No such function.

Update prices Etsy Updates the price only on Etsy store. Price will be overwritten on Etsy store by price from EasyERP during the nearest synchronization.
EasyERP Updates the price on EasyERP and Etsy side. Price will be updated on Etsy only during the nearest synchronization.

Creating and publishing a product

You already have an established integration channel between Etsy and EasyERP. But what if you want to add some new products for your customers to buy. This can be done in two ways.

    1. you can login to your Etsy administrator account and add a product from there,
    2. or you can add a product from EasyERP.

Second way is more efficient, as you are free to publish the same product to some other shops or platforms without manually retyping all the information again. In order to publish your product on Etsy from EasyERP multichannel system you will have to create a product there first. We have a very detailed instruction on how to do that in the main  EasyERP user guide, but for your convenience here’s a brief version.

Log into EasyERP inventory management system and go to Inventory/Products.


Afterwards create a new product by tapping on the New  button at the top of the opened menu.  


This opens a menu for creating products. Fill all necessary fields. After all information is inputted, press the Create button at the right bottom corner of the form.


This ends the part where you create a product on EasyERP side, now let’s make it visible on Etsy. The process of exporting a product or other entity to another platform is called publishing. To begin this process with your product, tap on the Publish to channel button in the Inventory/Products menu.


Next, select your channel, that is connected to your Etsy shop, a price list with prices of your target shop, and a shipping profile, as you can see here:


The next window that will open, it shows you all the products currently available for publishing, these are all of the products currently not published to the selected channel, in our case Etsy channel.

Note: you cannot publish products with less than $0.2 price from EasyERP to Etsy, this is Etsy platform limitation.

Also in EasyERP multichannel inventory management system you can export your listings to Magento and Shopify shops. To publish your products from this menu you have to mark them by tapping on the corresponding box to the left of the product. After selecting at least one product the Publish button will be visible at the top of screen. Cool feature is that you can select and eventually publish several products at once. To do so simply check their boxes, by tapping on them, you can even select all page of the products by checking in the box in the column identifier. If you need a reminder on what channel you are currently publishing a product or several, look to the right of the Publish button, the integration channel name is displayed there.

Now, when you have selected the product you want to publish press the Publish button.


Delete a product

At some point of business workflow you will need to remove products from your listings.  EasyERP multichannel inventory management system can give you an advantage in this case too because it allows you to delete a product from every platform you have a webshop on. But there is a correct way of doing that. If you will not follow the next instructions it can lead to unforeseen consequences.

If you decide to delete a product from a market platform integrated with EasyERP, without unpublishing it from EasyERP, then this product will simply be added to your inventory on EasyERP again after synchronization which occurs every 15 minutes.

If you desire to delete your item both from an integrated shop and from EasyERP completely, first you need to unpublish the product from all channels where it is published. For this, press the Unpublish from channel button at the top of the Inventory/Products menu.


Then select a channel, from which you plan to delete a product. Choose an integration channel from the drop down list and press Continue.


This action will display all products which have been published on a selected channel. Now to unpublish products, select them by tapping the corresponding box located to the left of the product name. If you decide to unpublish the whole page of products you can select them by checking the box in the column identifier. Now when you have selected the products press the Unpublish button at the top of the list.


Afterwards delete it from EasyERP multichannel inventory management system. This is one of the easiest tasks. It only has two steps: select a product you want to delete by tapping  the corresponding box, then press the Delete button at the top. As you can see, when any product is selected the New button turns into Delete button.


Then just confirm the operation in the browser confirmation dialog window and your product is deleted. After this the item will be removed completely from all of your inventories.

How to avoid duplicates

Managing several shops in one place is one of multiple benefits that EasyERP offers to it’s users. But this has two sides, meaning that if you don’t act carefully, you can produce duplicates of your products. Duplicate of a product is another similar record of a product that is visible in your listings. This means that one physical product is displayed more than once in your shop. Most probably you don’t want that, as it may confuse you and your customer in relation to quantities or other characteristics of products. So to avoid this problem you will need to know what is the source of it, and how duplicates are created.

First scenario for manual duplicate creation is in your Etsy administrator panel, where you may create an identical copy of existing product in Listing Manager menu. This action will not create a duplicate in EasyERP, only in Etsy.

Another possibility of creating duplicates is very similar, again manually. You may create two identical products in EasyERP and then publish both of them to Etsy. Though, creating a duplicate this way can be useful at times, as it is fully under your control, and cannot be done by mistake.

One more way of creating a duplicate in EasyERP multichannel inventory management system is to manipulate with integration channels. Be careful when you delete these channels.

Note: You cannot create two channels with the same name, even when you use different private apps. Only one Etsy store name is allowed.

EasyERP has a great tool to deal with duplicates. It is the Resolve conflicts button in Settings/Integration menu. Conflicts in EasyERP are the products that have been imported from any channel and have the same name and SKU with the ones existent in EasyERP. In other words, conflicts are duplicates. As you may know, Etsy has no SKU field, so in this case all imported products that have the same name with the ones already registered in EasyERP will be marked as conflicts.



From this menu you can handle the issues one by one or in bulk. You have three possible ways to resolve conflicts:

  • Skip - this option deletes information about the imported product and will only save the listing that already have been registered in EasyERP multichannel inventory management system;
  • Duplicate - this option creates another product with the same SKU, as one that is already existing in EasyERP. Do this at your own risk, because this can bring in even more mistakes;
  • Merge - this option overwrites the existing product with information that has been imported.  

Another possible source of unwanted duplicates are third-party apps. Actually those may  lead to any kind of consequences, not only duplicates. We cannot predict every way in which some apps can interact with your store in future. To avoid any damage to your valuable information we do not recommend using of any third-party apps together with EasyERP for inventory management.


Product variants in EasyERP multichannel inventory management system is one of many handy tools saving you time and money to create a whole series of products that are very similar but differ in one or two parameters only. This way you may create a number of product variants just in a few seconds.

It is definitely a wise decision to choose EasyERP multichannel system and Etsy together, as such pairing has an advantage over competitors. You are able to create unlimited amount of variants, as many as your business requires. This feature can save you a lot of valuable time, and have products displayed in the store faster. We don’t need to explain you the benefits of this.

In order to create variants you will need to follow few simple steps, that are covered in the documentation of the EasyERP multichannel system. First, you have to create options of products in the Settings/Product details/Product options menu.


Then create variants in the Product edit menu.


Then just mark the desired options and press create variants, for more details about this process please read the Inventory documentation.

What you have to know to successfully work with variants of products in EasyERP is that every variant possesses the same properties as the usual product. This means that every variant has to have a unique:

  • Name;
  • SKU;
  • Price;
  • Image;
  • Quantity;
  • Description;
  • Weight.

Note: according to the inventory instruction, to create variants of the product, at first you have to create the main product itself. Afterwards this main product won`t be different from other variants. Neither main product is tied to variants nor variants are tied to it. This means, if you need to you delete the main product you can do that without any consequences. In result of this action the product created second will be assigned as main.

When should you avoid using variants? Using variants may add a level of complexity to EasyERP. We recommend using variants only in case you manage high amounts of products that are similar to each other. Exporting your product catalog gets more complex if you use variants. In addition, you should also carefully select those options that are going to separate variants. Some e-commerce platforms may display variants as a related product, or as a possible option. In some cases it may be inappropriate to customers and they get irritated.

Now when you are familiar with the concept of variants, and have enough information to work with them in EasyERP multichannel system let’s see how do they get exported or imported to Etsy.

We believe that the best way to export or import variants is to leave them untouched. As you may know Etsy has variants too, so when products are imported or exported they will be sent in bulk, like variants of one product. As we’ve mentioned before, there are almost no limits on the amount of variants in EasyERP multichannel system.

But Etsy has a different setup. They only allow 2 options and a maximum of 71 variants. If you will try to export a bigger number of variants from EasyERP to Etsy, all products that are over that limit will not be visible on Etsy. This means if you plan to work with Etsy, regardless using EasyERP or not, you will have to limit your variants according to their requirements.  

Uploading products via CSV

The practice of bulk product uploading using a CSV file is common among the e-commerce resources. It allows you to easily migrate between them, restore all your products on demand and many more options. Though Etsy gives you the opportunity to back up all of your products and store it in CSV file, unfortunately they do not provide a tool to upload information from that file back. We have to say that, at the current state of development, using the EasyERP multichannel inventory management system cannot help you in this task either.

There are third-party apps that allow you to upload a number of products to Etsy from CSV file, but Etsy does not recommend using these apps and so do we, because it is unknown how they operate. This means there’s no guarantee that your product listings will be saved and not damaged or lost.
